CRM for Visa Consultancies in Brazil: Documents, Clients and BRL Billing

A practical CRM evaluation for consultancies in Brazil, covering Portuguese sample records, document review, BRL collections and access questions.

CRM for Visa Consultancies in Brazil: Documents, Clients and BRL Billing

A Brazilian visa consultancy may coordinate local clients, international appointments and documents destined for several different authorities. The team needs to know which client is waiting, which file is incomplete and which invoice remains unpaid. Evaluating a CRM for visa consultancies in Brazil starts with those questions, rather than assuming software can replace a professional review.

Keep the Brazilian office and the destination separate

The location of your consultancy and the destination of a client's application are different pieces of information. Record both consistently. A team handling study-abroad and visitor inquiries should not have to guess the service from a client's name or from the most recent message.

Agree the scope of each service with the client and identify who reviews destination requirements. Check the relevant professional requirements for your work. This operational guide does not establish that a business is authorized to provide regulated advice.

Test Portuguese content with actual sample records

Use fictional records to test names, accents, addresses and document descriptions. Ask a colleague to follow a request exactly as a client would see it. Check both the interface and the outgoing message; a field accepting Portuguese text is different from a fully localized Portuguese product.

Create a short internal writing guide for document requests. State what is needed, why the team is requesting it, and who the client should contact with a question. Avoid turning a vague message such as “send the documents” into a recurring source of rework.

Build a review stage into document collection

Uploading a file should begin a review task, not close the whole checklist automatically. Have the responsible staff member verify whether the file can be opened, whether it is the correct version and whether the client's details match the record. Questions about legal sufficiency should go to the appropriate professional.

  • Assign a case owner before requesting documents.
  • Record missing items as individual requests or tasks.
  • Keep internal due dates distinct from official deadlines.
  • Record the latest client update so a colleague can provide cover.

Keep BRL billing clear

Show the service description, agreed currency and amount on the invoice. Record expenses separately and link them to the case-related invoice when useful. If the agency also issues USD invoices, review BRL and USD totals separately; a combined number without an exchange-rate policy is not a useful collections report.

PayPal lists BRL in its supported currencies, with conditions that depend on the merchant account and transaction. Confirm eligibility with PayPal before offering it to a client. Stripe availability and account readiness also need verification. VisaPilot does not convert an unsupported invoice currency automatically.

Growth and Agency include connections to the agency's own Stripe and PayPal accounts. Starter includes invoices, quotes and expenses. Provider support is separate from the CRM subscription, so confirm both before choosing the payment workflow.

Review access and data handling before importing client files

List what personal information the team collects and who needs access to it. Ask the software provider about storage, exports, retention and access controls. Have the relevant adviser review your firm's obligations under applicable Brazilian privacy requirements; a CRM feature list is not a compliance certification.

Choose a small first rollout

Start with a coordinator, one service type and a set of sample records. Track the time needed to locate the next action, identify missing documents and check unpaid invoices. Once staff understand the process, move a small batch of active files and verify completeness before importing more.
