When an agency serves clients across the Americas, invoicing becomes a coordination problem as well as a payment problem. The client may live in one country, the agency may operate in another, and the service may concern a third destination. A reliable cross-border invoicing workflow for immigration agencies makes the seller, service, currency and payment record clear before a link is shared.
Confirm the sale, create the client, then issue the invoice
Do not use an invoice to stand in for an unconfirmed inquiry. Record the agreed service and create the client record first. Link the invoice to the appropriate case where relevant. This sequence helps the team distinguish a prospective client from someone who has accepted the service.
Describe the line items so the client understands what the charge covers. Keep government charges and the agency's service fees identifiable when both are included. Have the responsible adviser confirm any applicable tax treatment; a default tax rate in software is not a determination of the agency's tax obligations.
Agree the currency before sending a link
Confirm the invoice currency with the client. If the client pays with a different funding currency, explain that their provider may apply conversion and fees. Do not promise an exact converted amount without a defined rate and date.
Review collections in separate currency groups. For example, USD 500 and CAD 500 are two balances, not a USD 1,000 balance. If management needs a consolidated report, apply a documented exchange-rate policy outside that simple sum.
Use the agency's own payment account
In VisaPilot, Growth and Agency include connections to the agency's own Stripe and PayPal accounts. A Stripe link requires a connected account ready to accept payments. PayPal uses the agency's Business app credentials and supported invoice currencies. The payment belongs in the agency's payment account, separate from paying for its CRM subscription.
Stripe documents connected-account payment links, while PayPal documents its invoicing API. Account restrictions and supported currencies still apply. AED and PKR invoices cannot use VisaPilot's PayPal flow; the system does not silently convert them into USD.
Offer one active online collection route per invoice
Avoid sending competing payment links that can both collect the full balance. VisaPilot prevents generating a Stripe link while a PayPal invoice is active, and prevents the reverse. If you need to change the invoice or switch collection methods, cancel the existing online request first. If payment activity has already occurred, reconcile it rather than replacing the record.
Match the provider confirmation to the invoice
A client screenshot is useful evidence to review, but it should not be the only basis for confirming an online payment. Check the provider record, currency and amount. VisaPilot uses verified provider notifications for its connected payment workflows and provides a PayPal status check if a notification was missed.
For manual collections, keep the transaction reference and use the invoice ledger according to your firm's approval process. Recording a refund in a ledger and sending a refund through a provider are separate actions. Confirm that both records agree.
Keep expense statements alongside collections reviews
Filter expenses by currency and the relevant period, then download the PDF statement or CSV for review. A spending statement and an invoice collections report answer different questions. Review both when assessing a service's operational cost and cash received.
Test the complete cycle before sharing a live link
- Create a fictional client and an invoice in a supported currency.
- Connect a provider's test account using the appropriate environment.
- Complete a test payment and check the invoice status and payment reference.
- Confirm that a repeated notification does not create another payment entry.
- Agree how staff handle failed, delayed or disputed payments.
