E-signature for visa agencies means sending a document to a client as a private link, letting them sign it on their phone or computer, and keeping the signed copy with the case. It replaces printing, scanning and chasing, which is useful when your clients live in another city or another country and your engagement letter has been sitting unsigned for a week.
This guide explains which documents a visa consultancy can sensibly send for e-signature, how to run the process, what to check about legal acceptance and how to keep signed documents organised. It is not legal advice. Whether an electronic signature is valid for a given document depends on the document and the country, so check with your regulator or a qualified adviser, and never assume that a government form can be signed electronically.
Documents that suit e-signature
- Engagement or service agreements. The scope of work, the fee and the payment terms.
- Consent forms. Permission to hold and use the client's data for the application, and for messages such as WhatsApp updates.
- Authorisation letters. Where a client authorises your firm to act on their behalf, if the authority accepts it.
- Fee agreements and payment plans. Particularly when fees are paid in instalments.
- Declarations for your own records. For example, that the client has read your terms.
Official application forms are different. Many authorities require their own signature format or a wet-ink signature, so confirm the rule on the official source before you send anything for e-signature.
Why it helps a consultancy
- Faster starts. A case cannot begin until the engagement is agreed. Signing the same day shortens the start by days.
- Fewer disputes. A signed scope and fee is the first thing you will want if there is a disagreement later. See visa consultant fees and invoicing.
- Remote clients. Clients abroad sign without couriers.
- A tidy file. The signed copy sits with the client's case, not in someone's downloads folder.
How the process works in VisaPilot
On the Agency plan, E-Signature sends a PDF to your client through a private link. You can see whether it has been signed, and you can download the signed copy. A private link means the client does not need an account, and the document is not visible to anyone who does not have the link.
- Prepare the PDF. Use your standard engagement letter, with the client's name, the scope and the fee filled in.
- Send it. Choose the client and send it. The client receives an email with the private signing link.
- Follow its status. If it has not been signed after a day or two, send a short reminder.
- Download and file the signed copy. Keep it with the case.
- Move the case on. Once signed, issue the first invoice and send the document request. See the client onboarding checklist.
A short checklist before you send
- Is the right client and the right version of the document attached?
- Are the scope, fee, payment dates and refund terms clear and in plain words?
- Does the document state that you cannot guarantee a visa outcome?
- Have you checked that e-signatures are accepted for this type of document where you work?
- Is the signing link going only to the client's own email address?
Keeping signed documents safe
Signed agreements contain personal and financial details. Limit who can open them with roles and permissions, and use the activity log to see who accessed what. VisaPilot staff cannot see your clients' data. For more, read the data security checklist for visa agencies.
Common mistakes
- Sending a long document with no summary. Tell the client what they are signing in two lines before they open it.
- Sending to a shared email address. Send it to the client, not to an agent or a relative, unless they asked you to.
- No reminder. An unsigned agreement is a case that cannot start.
- Treating a signature as a guarantee. It records agreement. It does not replace good communication.
Frequently asked questions
Is an e-signature legally valid?
It depends on the country and the document. Many places accept electronic signatures for ordinary contracts, and some documents have special rules. Ask your regulator or a qualified adviser about the documents you plan to use.
Which plan includes e-signature?
E-signature is on the Agency plan. See the pricing page for the full comparison of plans.
Does the client need to create an account?
No. The client signs through a private link.
