Visa consultancy message templates are ready-written messages for the situations that repeat every day: acknowledging an enquiry, asking for documents, confirming an appointment, reporting progress and reminding about a payment. Good templates save time, keep your tone consistent across staff and make sure the important details are never left out. This guide gives you eight you can copy, with advice on when to use each.
Replace the words in [square brackets] before you send. Keep every message short and polite, put one clear action in each, and never promise a visa outcome. Approvals are decided by the authorities, not by your consultancy. These templates are examples to adapt, not legal advice.
How to use templates well
- Use the client's name and one specific detail. "Hi Amina, we have received your passport copy" feels personal. "Dear customer" does not.
- Ask for one thing at a time. Three requests in one message get one answer.
- Say what happens next. A message that ends with a date or a next step is easier to act on.
- Keep a record. A template sent from your own phone and never logged cannot be found when a colleague takes over the case.
Template 1: Acknowledge a new enquiry
Hello [Name], thank you for contacting [Firm]. We have received your enquiry about [visa type / country]. [Counsellor name] will contact you [today / by time] to understand your situation and explain the next steps.
When: within minutes of an enquiry, by the owner of the lead. Pair it with lead routing so a named person always follows up.
Template 2: Book a consultation
Hi [Name], your consultation is booked for [date] at [time] [with name / by phone / at our office]. Please bring or have ready: [passport, previous visas, education or work documents]. If you need to change the time, reply to this message.
When: straight after booking. Send a short reminder the day before. See visa appointment tracking.
Template 3: Request documents
Hi [Name], to continue your [visa type] application we need these documents: [list]. Please upload them here: [secure link]. Clear scans or photos are fine. If anything is not available, tell us and we will advise.
When: once, with the full list, through a private upload link instead of chat. See document management software.
Template 4: Gentle document reminder
Hi [Name], a quick reminder that we are still waiting for [document]. Your application cannot move forward without it. You can upload it here: [secure link]. If you are having trouble, just reply and we will help.
When: a few days after the request. Automatic reminders do this for you. See visa agency automation.
Template 5: A document needs correcting
Hi [Name], thank you for sending [document]. We checked it and need one correction: [what is wrong, for example "the photo is blurred" or "the name does not match your passport"]. Please send a corrected copy here: [secure link].
When: the same day the document is reviewed. Be specific, so the client does not guess.
Template 6: Progress update
Hi [Name], an update on your application: [stage, for example "your documents are complete and are being reviewed by our team"]. The next step is [next step], which we expect [timing if known]. You can follow your case any time in your client portal: [link].
When: whenever the stage changes. The client portal shows the status too, which reduces "any update?" messages. Read how a client portal reduces follow-up calls.
Template 7: Payment reminder
Hi [Name], a friendly reminder that invoice [number] for [amount] is due on [date]. The balance is [amount]. You can pay by [method]. If you have already paid, thank you, and please send the payment reference so we can match it.
When: a few days before the due date, and once after. See a simple invoicing workflow.
Template 8: After a decision
Hi [Name], we have been informed of the decision on your application. [Please call us / we will call you] today so we can explain the result and the next steps together.
When: for any decision, and especially a refusal. Do not send bad news by template alone. Use the message to arrange a call.
Where to keep and send your templates
In VisaPilot, on the Growth and Agency plans, WhatsApp message templates let you pick a client, choose a template and send it from your own WhatsApp with one click. It is free, with nothing to connect, and each message is logged on the client's timeline. Client emails can also be sent from your own Gmail, and one message can be sent to a filtered group of clients, so check the audience before you send. When a client replies by email or WhatsApp, the conversation sits in one inbox that can be assigned to a team member and linked to the right case.
Automatic WhatsApp updates are optional. They need the client's consent and your own WhatsApp Business connection, and Meta's charges apply. Read WhatsApp case updates for visa agencies.
Frequently asked questions
Should I use the same template for every client?
Use the same structure, and change the details. A template is a starting point, and a short personal line makes it feel like a message from a person.
Can templates be in another language?
Yes. Write your templates in the languages your clients use. The interface is in English, and your clients can be from any country.
Is it fine to message clients on WhatsApp about their case?
Many clients prefer it. Keep a record of what was sent, avoid sending sensitive documents over chat and follow the consent rules that apply where you work.
